Description SHIFT: No Weekends SCHEDULE: Full-time St. David’s Round Rock Medical Center is part of St. David’s HealthCare , one of the largest health systems in Texas, which was recognized with a Malcolm Baldrige National Quality Award in 2014. With 171 beds, the hospital’s comprehensive services include advanced cardiac care at the Heart Hospital of Austin at St. David's Round Rock—the first specialized cardiac facility in Williamson County—with the only Hybrid Operating Room (OR) in the county; as well as emergency services in a 24-hour emergency department, including advanced trauma care with a Level II Trauma Center; St. David's Urgent Care Round Rock; and St. David's Emergency Center in Cedar Park. St. David’s Round Rock Medical Center is also known for providing advanced orthopedic and robotic services, among other complex specialties. In 2016, the hospital received the Distinguished Hospital Award for Clinical Excellence from Healthgrades and also earned a national distinction for patient safety from The Leapfrog Group . POSITION SUMMARY: Under the general supervision of the Director of Rehabilitation Services, the Office Coordinator is responsible for facilitating and completing rehabilitation scheduling, administrative and clerical tasks, collecting and verifying patient related information for the purposes of expediting the admission to and discharge from Rehab Services,  registering patients for service, collaborating with related personnel of the outpatient program as well as assisting the Director to assure the efficient operation of the outpatient program. GENERAL RESPONSIBILITIES: Responsible for the scheduling of all outpatient therapies. Collaborates with physicians, clinicians, patients and clerical staff to assure effective and efficient delivery of service(s). Contacts patient with initial schedule and assures the patient has necessary information for admission to the department Serves as liaison to clinical staff to communicate status of the patient and their scheduling needs. Supplies schedules in a timely manner to therapists with 95% accuracy. Updates schedules on a daily basis and distributes changes to therapists. Collaborates with medical system as needed to assure efficiency of operation. Compiles monthly statistics on scheduling as required by the director. Accurately collects and verifies demographic and insurance data by either personal phone call or telephone interview for patients to be admitted to Rehab services program. Process all admissions and pre-admissions with a less than 5% error rate according to departmental policy. Documents all appropriate data by standard procedure. Ensures the requirement for pre-certification/pre-authorization has been initiated and/or completed. Collects patient portions of estimated bills when appropriate. Calculates and collects estimated patient responsible portions of projected bills based on all data collection and advises patients accordingly. Documents and collects calculated portions according to departmental fee schedule policy on business office folder. Refers all self pay accounts according to departmental procedures Disseminates information on a need to know basis for all appropriate telephone and/or personal contacts. Provides assistance, guidance, and direction to patients, visitors, and physicians Provides assistance, guidance, and direction to patients, visitors, and physicians Informs therapist of patient arrival. Performs general secretarial/clerical functions Prepares accurate and professional documents and monthly reports to supervisor on time. Completes reports with less than 5% error rate. Provides for expedient turn-around time for all mail, medical records, faxes. Maintains office filing system. Takes messages accurately and distributes to proper personnel. Answers phone in courteous/helpful manner Faxes reports and communication notes to physicians. Prepares accurate and professional documents and monthly reports to supervisor on time. Promotes customer satisfaction as evidenced by meeting customer requirements in all services provided. Qualifications EDUCATION AND EXPERIENCE: REQUIRED: High School diploma or GED PREFERRED: Two years' experience in a medical or rehabilitation setting. Computer skills.
