Job Description:

JOB SUMMARY: Provide high-level administrative support with the day-to-day operational activities and prepare statistical reports, correspondence, handling information requests.

QUALIFICATION STANDARDS

EDUCATION REQUIREMENTS: High School Diploma or GED equivalent is required.

LICENSE/PERMITS REQUIRED: Valid driver's license required.

KNOWLEDGE OF COMPUTER HARDWARE OR SOFTWARE:


-Ability to prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software such as Microsoft Word, Excel, and PowerPoint is required.
-Ability to work with phone equipment and other clerical-related machines.
-Tools and equipment for the resort such as Micros, POS system, ADP, GroupWise is helpful but not required.

PREVIOUS EXPERIENCE REQUIRED:

-2 years minimum of administrative, clerical, or executive assistant experience in a hotel, resort, or business setting.
-Experience in the hotel/resort industry is helpful but not required.

REQUIRED SKILLS:

-Must be able to communicate, read, write, and speak English effectively.
-Advance excel skills.
-Requires being pleasant with others on the job and displaying a good-natured, cooperative attitude.
-Requires knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
-Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
-Knowledge of principles and processes for providing customer and personal services.
-Manage one's own time and the time of others.
-Detail oriented and thorough in completing work tasks.
-Oversee vendors/contractors, inventory tracking orders
-Ad-hoc project work as necessary
PHYSICAL REQUIREMENTS:

-Must be able to work in a stationary position for long periods of times (up to 5 hours)
-Must be able to frequently move throughout a large resort.
-Must be able to occasionally work in outdoor weather conditions.
-Must be able to regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.
-The noise level in the work environment is usually moderate.
-Must be able to work and be flexible with all shifts, weekends, and holidays.
-Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
MENTAL REQUIREMENTS:

-Must be able to convey information and ideas clearly.
-Must be effective at listening to, understanding, and clarifying the issues raised by Associates, Supervisors, Department Heads, Senior Management, and guests.
-Ability to be a clear thinker, analyze and resolve problems exercising good judgment.
-Make independent decisions while maintaining strong ethical standards consistent with company policy, rules and the ability to maintain confidential information.
-Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger. Collect accurate information and resolve conflicts.
-Must be able to thrive in a fast-paced, energetic environment that is constantly changing
ESSENTIAL DUTIES & FUNCTIONS:

-Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
-Open, sort, and distribute incoming correspondence, including faxes and email.
-File and retrieve, resort documents, records, and reports.
-Prepare responses to correspondence containing routine inquiries.
-Collect, meter and take mail to post office on a daily basis.
-Pick up mail, open and disburse in appropriate mailboxes.
-Make credit card purchases and provide backup for accounting purposes.


-Ensure that all guests feel welcome and are given responsive, friendly, and courteous service at all times.
-Prepare all required paperwork, including forms, reports and schedules in an organized and timely manner.
-Fully understand and comply with all federal, state, county and municipal regulations that pertain to health, safety and labor requirements of the resort.

-Report all concerns and problems to the Manager when appropriate.

-Ensure friendly and courteous customer relations at all times, identifying and welcoming current patrons.
-Keep an open line of communication with all departments and keep them posted on what is happening in the resort when appropriate.
-Assist with other duties as deemed appropriate by the Manager.
